Safety Clerk

Job Purpose 

Primary responsibilities are to conduct investigations, prepare necessary files, and, as instructed, to assist local management to assure compliance with state, client, and First Transit requirements and to respond to the client, CBCU, and adjusters as needed.

Major Responsibilities: 

  • When instructed, create any necessary files per company, client, and federal standards. Keep files current, neat, and orderly.
  • Daily, access RTD Customer Service Reports assigned to Commerce City, including ADA complaints, and process completely, including video reviews and documentation of findings, file preparation for retention, and response to client.
  • Update and maintain the safety toolbox/database in the company Portal, including the bus operator certification tracker.
  • Track driver’s license and DOT physical expiration dates and notify employees of approaching expirations. Provide employees with DOT re-certification paperwork to take along to clinic.  Fax DOT physical re-certifications to DMV.  Confirm clinic/doctor listing on DOT register.  Other related duties as assigned.
  • If so instructed, assist HR Department in data entry for all required safety checks (CRC, MVR, I-9, D&A history, etc.) for pre-employment and other updates to these reports (e.g. MVR runs) as well as follow-up with needed documents and responses to the CBCU.  Maintain separate MVR files for examination by client, as requested.
  • Maintain employee commendation certificate records, distribute commendation certificates, and update commendations bulletin board as needed.
  • Assist local management, as instructed.
  • Track safety awards programs for employees and submit to Safety Manager and/or Region Safety Manager, as required.
  • Maintain neat and orderly files, organized so that audits can be easily accomplished.
  • Daily, unless otherwise instructed, audit Hours of Service certificates, Driver Records of Duty Status (DOT logs), and tracker tools.  Follow-up with employees to attain compliance.
  • Must continuously maintain confidentiality, as directed by company policy and local management.
  • Other duties as assigned.

Minimum Experience & Skills Required:

  • High School Degree or equivalent
  • Some college preferred
  • Prior confidential administrative experience preferred.
  • Proven organizational and prioritization skills
  • Excellent oral and written communications skills.
  • Excellent customer relations and interpersonal skills to communicate and cooperate with clients and other departments
  • Demonstrated record of safety compliance.
  • Valid driver’s license
  • Demonstrated competence in MS Office applications (Word, Excel, and Power Point)
