Nature and Scope of Position

The Payroll Clerk is responsible for providing a specific variety of clerical, human resources, and general office support.

Duties and Responsibilities

The following is not intended to be a comprehensive list of the essential functions of the Payroll Clerk position, but rather a general description of some of the requirements necessary to carry out the duties and responsibilities of this position. The Payroll Clerk  must be able to perform the following tasks, among others:

  • Accurately, reliably, and confidentially process payroll in accordance with company policies and all applicable federal, state, and local laws. Employees will be paid “scheduled” time only, unless document is signed by Department Manager. The Payroll Clerk must adhere to each department’s schedule noting hourly employees that are paid using time cards. Each time record/document must be reviewed for accuracy. All hand written entries will not be paid unless approved by department manager. Any time worked outside of the work hours as indicated on the schedule will not be paid unless approved by the department manager. The department manager must initial the time document approving the pay.
  • The Payroll Clerk must have a clear understanding of contractual requirements.
  • Track and report driver paid vacation and personal days.  The Payroll Clerk will work with the Accounting Supervisor to ensure each employee vacation file is accurate and updated.
  • Collect all required employee pay forms needed to process payroll from department supervisors. Ensure that the documents are signed and approved by the appropriate department supervisor.
  • Responsible for the accuracy of all payroll reports.
  • Responsible for reconciling payroll data on a daily basis.
  • Photocopy, fax, or e-mail information, reports or other information as needed.
  • Complete all required job tasks within prescribed timeframes in order to meet deadlines.
  • Assist with the maintaining and processing, with Accounting Supervisor’s approval, the petty cash account. 
  • Removal of fares from the Dispatch office safe each business day no later than 8:00 a.m. 
  • With the Accounting Supervisor’s assistance, counting and verifying fares daily.
  • Accurately, reliably and confidentially reconcile fares and coupons collected by the drivers on a daily basis, reporting any discrepancies immediately to the Accounting Supervisor.
  • Maintain a respectful working relationship with all First employees and treat all employees, vendors, and customers in a professional manner.
  • Reply to all e-mails, faxes, and telephone requests daily as requested.
  • Confidentially respond and complete employment verification for employees.
  • Must be able to work in high stress environment with specific deadlines.
  • Must report statistical information as requested.

Job Description

 Payroll Clerk

  • Must be proficient in computer skills, particularly in the development and management of the payroll system.
  • Any other duties as assigned by the Accounting Supervisor or Project Manager.
  • The expected working hours will be 8 hours a day, Monday through Friday, 7:30 a.m. to 4:00 p.m., with an unpaid 30 minute lunch.  Deviation from this schedule must be pre-approved by Accounting Supervisor. 
  • The Payroll Clerk’s position is vital to the success of the organization.  Attendance, confidentiality, accuracy are imperative.
