Office Manager

The Office Manager provides administrative support under limited supervision for the operation of the First Vehicle Services facility in cooperation with the management team. Performs a variety of tasks including interfacing with customers, vendors, and internal departments, as well as overseeing payroll, accounts payable functions, and centralized fleet maintenance coordination.

Office Manager major responsibilities:

  • Performs clerical and administrative details to ensure that all contractual and legal mandates are met.
  • Maintains contract files and records.  Prepares contract correspondence, manager reports, and schedules.
  • Answers the phone and directs calls for the department or location.
  • Schedules appointments and meetings for management. Prepares agendas. Prepares and sends faxes, e-mail and mail as required.
  • Administers or oversees accounts payable functions, payroll, and personnel records.
  • Inputs and extracts data from fleet MIS system to provide data to management and the Client
  • Inputs and oversees the coordination of fleet maintenance and documentation for work flow process for all locations.
  • Performs all other duties as assigned.

Office Manager job requirements:

  • High school diploma or GED equivalent; Associate's degree preferred
  • Minimum 2 years of administrative, office, or data experience
  • Previous accounting and reporting experience is required.
  • Inventory experience is required
  • Must be able to work with minimal instruction provided
  • Strong computer skills, including experience Microsoft Office programs
  • Excellent communication and customer service skills. Be able to read, write, and speak English.
  • Ability to work extended hours in accordance with business needs.
  • Subject to a drug test.
